Idea Incentives Policies & Order Details

The terms and conditions within this document will govern our dealings with you, the purchaser.  Idea Incentives Inc. must agree to any exceptions or amendments.
We at Idea Incentives pride ourselves on the quality we maintain in each of our gift pieces and strive to give you the best price possible.  Please review the following order policies as we aim to serve you better.

Privacy Policy

  • Idea Incentives respects the privacy of all its clients.
  • Any information shared with Idea Incentives will be used only for the benefit of the client, and will not be sold, copied or distributed in any way to any outside source.
  • To prevent unauthorized access, maintain data accuracy, and ensure the correct use of information, we have put in place appropriate physical, electronic, and managerial procedures to safeguard and secure the information we collect online.
  • Should you have other questions or concerns about these privacy policies, please call us toll free at 1.877.454.4332 or send us an email with the word privacy in the subject field.

Client Authorization

Once a client registers with Idea Incentives online, he/she agrees to be contacted in person by an Idea Incentives Customer Care Representative.

Volume Pricing

All pricing online is based on volume discounts.  If you request special pricing, please call 1-877-454-4332 for a custom quote.

Quotes are based on exact quantities given. Once you have placed your order, decreasing the quantity requested may result in a new price point per unit.  Changes to orders for custom made gifts are not accepted unless expressly agreed to by Idea Incentives. 

Please note that for high quantities of bags and promotional products (not gifts) you will be billed for the exact number of products shipped.  There may be up to 5% overages or underage per order.   This means that you should order more items than you need if you need an exact amount.  Please discuss this with your account manager if you are concerned with this policy.

Payment Terms

Upon agreeing to this order, the purchaser will pay Idea Incentives a non-refundable deposit of 50% with the balance payable once the goods are ready to be shipped.  Deposits are accepted by wire transfer, Visa, MasterCard, or company cheque.   We accept credit cards payments up to $3,000.00 per order.  Repeat clientele can apply for Idea Incentives client account privileges.

Tax

Revenue Canada governs that all orders shipped in British Columbia & Canada are subject to 12% HST. Orders shipped to the USA and Internationally are currently not subject to HST, but are subject to applicable duties of the importing country.

Artwork Policy

Artwork is requested in an EPS vector file, a JPEG or PDF is also helpful.

All fonts should be converted to outlines (lines and curves) or they should include the Macintosh fonts  required.  Vector Artwork – Adobe Illustrator files should be saved as Illustrator EPS and in the native illustrator 8.0 or earlier format. 

For imprinting, colour separations are required if your imprint includes more than one colour.  Artwork with grey tones or half tones is subject to an additional charge, and may have limited applications.

Please provide your logo colours by providing a Pantone number or PMS color with your artwork submission.

Artwork provided by the client is the property of the client and any modifications will be for the sole purposes of adopting it to various applications i.e. screen-printing, embroidery.  Prices are based on client supplied Vector Artwork, in EPS format.   Typesetting, re-design, and logo design by Idea Incentives is available for an additional charge.  The artwork required may vary with the application and the product chosen. 

Once your order is confirmed and your artwork received, you will receive an artwork proof showing placement, size and colour of your artwork.  Please proof this carefully.  Your signed approval is required before we proceed with any customization.

Damaged Merchandise

We endeavor to package our items as securely as possible.   Title of goods passes to the buyer FOB Vancouver.  In the event that your items are damaged in shipping, we will replace those items as soon as possible.

Product Variations – Handcrafted Products

Artistic gift items and hand crafted gift items will vary slightly from piece to piece.  Glass and crystal products are subject to minor variances such small bubbles, cooling seams, slight ridges, and shear marks.  These minor differences are not considered defects.  No two hand crafted pieces are identical.

Perishable Items

Perishable items will be packaged and shipped for overnight delivery.  However, Idea Incentives will not cover the expense of items that may spoil on route to their destination due to the handling by a preferred carrier, or the weather.  If you have a concern in regards to any of your products ordered, please ask your customer service representative.  When shipping chocolate in the summer months we recommend overnight delivery service.

Return Policy

We strongly suggest that you confirm any questions or details that you may have regarding possible returns on any purchases with your Sales Representative before confirming your order.

All goods that have been custom made or customized are considered a final sale. 

Electronic items cannot be returned once ordered.

Idea Incentives guarantees the quality of all our products.  In the unlikely event that there is a defect with an item please return it for a full refund or replacement.

Cancellation Policy

Cancellations are not accepted on custom-made gifs or products that have been customized or custom cut in any way.  Cancellations are not allowed on orders that are purchased and held in our warehouse for more than 30 days from the order date.  All other standard orders are subject to a 15%-25% restocking fee within a 30-day period from the order date.  Orders that are not yet shipped from Idea Incentives and have been purchased at least 30 days in advance cannot be cancelled.

Lead Times Request

Orders for products that are not customized normally require up 14 business days before shipping, depending on the volume of the order and the nature of its fabrication.  All orders are FOB Vancouver Canada.

Orders with customization require 14 business days before shipping, provided artwork is received immediately in an EPS vector file with all fonts converted to lines and curves. 

Large orders for specialty Canadian gift items may require 3-4 months for delivery.  Please inquire if your order is a large order.

We recommend considering offshore production for large orders of promotional bags.  Lead times vary from 3-6 months.

Rush Order Policy

Idea Incentives prioritizes our clients’ needs.  We understand that requests do happen last minute and we will do everything to accommodate your last minute requests.  At times there is a cost for this service.

Promotional Merchandise

Gifts Made in Canada

The majority of our Canada Gifts are Made in Canada. Apparel and promotional products are often made offshore. Please inquire for more information on the country of origin.

Minimum Order

At Idea Incentives it is our goal to offer exceptional products and excellent customer service.   Our minimum order is $1,000.00.

Gift Baskets and Alcohol Policy- Idea Incentives Delivery Service

Idea Incentives provides our clients with the option of adding alcohol or non-alcohol beverages to any gift basket and prices listed include this delivery service.  In compliance with BC liquor laws as outlined in the BC Liquor Control and Licensing Act and the Regulations under this Act, Idea Incentives is bound by the following:  Alcohol may be added to a gift basket only if the gift basket is to be delivered within the province of British Columbia, Canada.  When purchasing alcohol on your behalf, we are considered under the Act to be a delivery service. Customers will be charged for the alcohol at the liquor store price and a service charge applies for delivery service.    We do not store or keep alcohol on our premises.  The legal drinking age in British Columbia is 19.  Idea Incentives Gift Baskets containing alcohol will not be sold or delivered to anyone under the age of 19, we require 2 pieces of identification at the time of delivery.  We do not advertise alcohol or brand names on our website.
